The full time annual leave entitlement is the amount of annual leave a full time employee would get if they worked a full 12 months. The legal requirement is at least 20 days plus bank holidays a year but it can be more than this.
The system uses this as a guideline on what to give employees based on what they work each week and when they have started in the year and allows for the pro-rata of part time employees or new starters part way in the year.
The main reason why a bulk upload would fail is due to the format of the spreadsheet being changed before upload.
To ensure a smooth upload with no issues, try downloading the form again and ensuring the sheet is not changed such as columns being re-sized, fields being moved etc.
The only action that is valid on the spreadsheet is the input of your employee data and providing this is all that is added, your upload should be successful.
The entitlement unit is important for how your employees are going to book their annual leave.
The days option, will allow the employees to request blocks of days or half days - this is best option if your employees work full days.
The hours option, allows the employees to book in minutes and hours meaning they can specifically book the exact number of hours worked in a day - this is the best option if your employees work different hours on different days or maybe they have half days in their shift patterns.
The employee type refers to the type of employee you're adding.
The fixed profile type, would generally be used for an employee who works the same shift pattern from week to week for example: Monday to Friday or Monday, Tuesday and Wednesday.
The shift pattern can vary throughout the week but needs to be the same every week.
The Variable profile, would generally be used for an employee who doesn't have a set working pattern each week or the days they work vary or the start and finish times. For example: Monday to Wednesday one week, Monday to Friday the next.
Don't worry about filling in every field for your employee in the setup process, there are only a few required fields that are required:
- Their full name (This can be amended once added)
- The employees email (this can be made up and added later for example: [email protected]
- The employee start date (This again can be amended once added)
- The jurisdiction (This cannot be amended - see the jurisdiction step for more info)
- The profile type (This cannot be amended - see the profile type step for more info)
- Leave unit type (This cannot be amended - see the days or hours step for more info)
All other fields and details are not required to set up their profile and can be added at a later stage!
