If we’re being honest, asking "R U OK?" once a year doesn't fix a toxic dynamic or an overworked team. When regulators talk about psychosocial hazards, they aren't using fancy new buzzwords, they’re talking about very real issues that impact an employee’s everyday life.

Once the morning tea is finished and the yellow posters are taken down, managers are left with the practical reality of supporting their staff. When an employee answers your check-in with a candid "Actually, no." freezing up isn't an option.

Here is how to navigate those crucial conversations with empathy, clarity, and total confidence.

Listen to Understand, Not to Fix

When someone opens up about personal struggles, burnout, or workload stress, your main job is to listen. Give them your complete attention, let them speak without interruption, and resist the urge to jump in with immediate advice. Validating their experiences builds real trust.

Acknowledge Their Courage

Opening up at work takes vulnerability. A simple, warm response like, "Thank you for trusting me with this," or "I appreciate you letting me know what's really going on," shows that your workplace is a safe space to speak up.

Keep Your Role Clear and Supportive

As a manager, you aren't expected to act as a qualified counsellor. Your role is to provide practical workplace support, manage risks, and arrange reasonable adjustments to keep their workload manageable.

Connect Them to Practical Support

Guide your team member toward professional, structured assistance:

  • Direct them to confidential counselling options or EAP

  • Agree on temporary flexible arrangements

  • Schedule low-pressure check-ins

Lock In a Follow-Up

Don't let the support stop after one meeting. Schedule a brief catch-up a week later to see how the temporary adjustments are working, while keeping their personal details strictly confidential.
